Policies
14-day money-back guarantee
Not satisfied within the first 14 days of your first payment? Contact us for a full refund, no questions asked. After 14 days, payments are non-refundable.
Cancellation
Cancel at any time. Your service continues until the end of the current billing month. No notice period, no penalty, no partial-month refunds.
Uptime & availability
Response Agent is a managed service operated on dedicated infrastructure. We aim for maximum availability and notify you immediately via push notification if there is any disruption. No formal uptime SLA is offered at this time.
GDPR & data protection
We are based in Berlin and fully GDPR-compliant. Customer data is anonymised after 90 days. You may request deletion at any time. A Data Processing Agreement (Auftragsverarbeitungsvertrag) is available on request for all plans.
Payment methods
We accept credit/debit card (Visa, Mastercard), SEPA direct debit, bank transfer (Überweisung), and PayPal. Invoice billing available on all plans — contact us to set up.
Plan changes & pricing
Upgrade takes effect immediately, prorated to your billing date. Downgrade takes effect at the start of your next billing cycle. If we ever raise prices, existing customers are given 60 days notice and may cancel penalty-free.
Common questions
What counts as a ticket?
Each incoming customer message that the AI analyses counts as one ticket — whether it is sent automatically or held for your review. Duplicate submissions and spam filtered before analysis are not counted.
What happens when I reach my monthly limit?
You receive a push notification at 80% of your limit so you are never caught off guard. If you exceed your limit, automation continues and additional tickets are billed at your plan's overage rate on your next invoice. Starter: €50/100 tickets — Growth: €30/100 tickets — Scale: €20/100 tickets.
Do I need to change my existing email setup?
Minimal changes. For email inbound, your support address is routed through our inbound parser — DNS setup takes about 10 minutes. If you are already on Zendesk or Gorgias, we connect directly with no changes to your inbox at all.
What if the AI gets it wrong?
The system is designed for human oversight, not replacement. Anything the AI is uncertain about is held in your approval queue before sending. You always have the final word. You can also adjust the confidence threshold — lower it to review more, raise it to automate more.
Can you customise the responses for my brand?
Yes. During onboarding we build a response template library matched to your most common ticket types — tone, language, and policies included. You can review, edit, and add new templates at any time through the dashboard.
Is there a contract or minimum term?
No long-term contract required. All plans are month-to-month. If you choose annual billing you commit to 12 months upfront in exchange for 2 months free — but there is no obligation to go annual.
How do you handle my customers' data?
Ticket data is processed solely for the purpose of generating responses. Data is anonymised after 90 days and never shared with third parties. You can request deletion of any data at any time. A full Data Processing Agreement is available on request.
